1. Information We Collect

We collect the following categories of information when you use Wingman:

• Account information: Your name, work email address, company name, and team size provided during registration
• Call transcripts: Text transcriptions of your sales calls. Audio is NOT stored — only the resulting text transcript is retained
• Coaching card data: The AI-generated coaching suggestions surfaced during your calls and your interaction with them
• Usage analytics: Feature usage, session duration, and performance metrics to improve the Service
• Payment information: Billing details processed by Stripe (we do not store card numbers)

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Wingman Service
• Generate real-time coaching suggestions during sales calls
• Send transactional emails (account setup, billing, security alerts)
• Analyse aggregate usage patterns to improve our AI models
• Respond to support requests and customer communications
• Comply with legal obligations

We do not sell your personal information or call data to third parties.

3. Data Storage

Your data is stored and protected as follows:

• Database: Stored on Supabase (PostgreSQL) with Row Level Security enabled
• Location: Servers located in the United States
• Encryption at rest: AES-256 encryption for all stored data
• Encryption in transit: TLS 1.2 or higher for all data transfers

4. Third-Party Services

We use the following third-party providers to operate the Service. Each is bound by its own privacy policy and data processing agreements:

• Auth0 (Okta): Authentication and identity management
• Stripe: Payment processing (PCI DSS Level 1 certified)
• RecallAI: Call bot infrastructure for joining video meetings
• Deepgram: Real-time speech-to-text transcription
• Anthropic Claude: AI-powered coaching generation

These providers only receive the minimum data necessary to perform their functions and are contractually prohibited from using your data for their own purposes.

5. Data Retention

We retain your data for the following periods:

• Call transcripts: Retained for 90 days from the date of the call, then automatically deleted
• Account data: Retained while your subscription is active, plus 30 days following cancellation
• Billing records: Retained for 7 years as required by applicable tax law

You may request earlier deletion of your data at any time by contacting privacy@thewingman.io.

6. Your Rights

You have the following rights with respect to your personal data:

• Access: Request a copy of the personal data we hold about you
• Deletion: Request deletion of your account and associated data
• Export: Request an export of your data in a portable format
• Correction: Request correction of inaccurate personal data
• Objection: Object to certain processing of your data

7. Cookies

We use cookies and similar tracking technologies to operate the Service. These include:

• Essential cookies: Required for authentication and session management
• Analytics cookies: Used to understand how users interact with the Service (anonymised)

You can control cookie settings through your browser preferences. Disabling essential cookies may affect Service functionality.

8. Children's Privacy

The Service is not intended for users under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us at privacy@thewingman.io and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the "Last updated" date at the top of this page. Your continued use of the Service following notification constitutes acceptance of the updated policy.
